For many South African customers, WhatsApp is the first place they go to ask a business a question. If your marketing sends them instead to a long web form or an email address, some will not bother. Bringing the conversation to WhatsApp, and handling it quickly and consistently, is one of the most direct ways to turn interest into sales.
This guide explains the two ways businesses use WhatsApp, how to build a funnel from ad click to sale, how automation and CRM integration fit in, what it costs, and the consent rules you must follow.
WhatsApp Business app or WhatsApp Business Platform?
| WhatsApp Business app | WhatsApp Business Platform (API) | |
|---|---|---|
| Best for | Sole traders and small teams | Growing businesses with several staff or high message volume |
| Cost | Free to download | Per-message charges from Meta for templates, plus a provider or setup cost |
| Users | One phone, with a small number of linked devices | Many agents on one number through a shared inbox |
| Automation | Greeting, away messages and quick replies | Chatbots, AI agents, routing and integrations |
| CRM integration | Manual | Automatic: contacts, messages and outcomes synced |
Start with the app if one or two people handle every enquiry. Move to the Platform when messages are missed, several people need access, or you want leads to flow into your CRM automatically.
How does a click-to-WhatsApp funnel work?
- An ad on Facebook or Instagram with a clear, low-effort offer and a "Send message" button that opens WhatsApp.
- A pre-filled first message, so starting the conversation takes one tap.
- An instant reply that acknowledges the message and asks two or three qualifying questions, such as what they need, where they are and when.
- A hand-over to the right person, with the answers already captured, for anything that needs a human.
- The contact, answers and outcome recorded in your CRM, so you can see which ads produce customers, not just chats.
What can be automated on WhatsApp?
- Instant replies at any hour, so no enquiry waits until the morning.
- Lead qualification questions before a salesperson steps in.
- Answers to common questions about prices, hours, delivery and availability.
- Order and booking updates, confirmations and reminders.
- Routing to the right person or branch based on what the customer needs.
AI agents can now answer a wide range of questions using your own price lists, policies and FAQs, and hand over to staff when a conversation needs a person. The key is grounding: the agent should answer only from your approved information. See our guide to AI customer service agents.
How does WhatsApp pricing work?
The WhatsApp Business app is free. On the WhatsApp Business Platform, when a customer messages you, a 24-hour customer service window opens in which you can reply freely. Messages you send outside that window, such as reminders, updates or promotions, must use pre-approved message templates, and Meta charges for these per message, at rates that depend on the category (marketing, utility or authentication) and the customer’s country. Check Meta’s current rate card before planning large campaigns, because pricing is updated from time to time.
Setup and management are separate. Lulonke’s WhatsApp AI agent, which qualifies leads, answers questions from your documents, syncs with your CRM and hands over to staff, costs R25,000 to set up and R6,500 a month. See automation for what it includes.
What are the consent rules for WhatsApp marketing?
Two sets of rules apply. WhatsApp’s own policies require that people have opted in before a business starts conversations with them, and that they can easily opt out. POPIA adds that direct marketing by electronic communication generally requires the person’s consent, unless they are an existing customer who bought a similar product and was given the chance to opt out each time.
- Collect opt-in clearly, for example a tick-box on a form or a keyword message, and record when and how it was given.
- Tell people what they will receive and how often.
- Make opting out easy, and honour it immediately.
- Prefer useful messages, such as order updates, reminders and answers, over broadcast promotions.
How do you measure WhatsApp marketing?
Measure conversations that become customers, not message volume. Track how many chats each ad or campaign starts, how many qualify, how many become sales, and the cost per sale. Record response times too: an enquiry answered in minutes is far more likely to convert than one answered tomorrow. With the Business Platform connected to your CRM, all of this is captured automatically. Our guide to multi-touch attribution explains how to credit WhatsApp alongside your other channels.
Frequently asked questions
Is the WhatsApp Business app free?
Yes, the WhatsApp Business app is free to download and use. The WhatsApp Business Platform (API), used for automation and multiple agents, involves per-message charges from Meta for template messages, plus setup or provider costs.
What are click-to-WhatsApp ads?
Click-to-WhatsApp ads are Facebook and Instagram ads with a button that opens a WhatsApp chat with your business. They are created in Meta Ads Manager and give customers the shortest path from seeing an ad to talking to you.
Can I send WhatsApp marketing messages to my customer list?
Only to people who have opted in to receive them. WhatsApp requires opt-in for business-initiated messages, and POPIA generally requires consent for electronic direct marketing. Messages outside a 24-hour customer service window must use approved templates.
Can WhatsApp connect to my CRM?
Yes, through the WhatsApp Business Platform. Contacts, conversations and outcomes can sync automatically to CRMs such as HubSpot, so every WhatsApp lead is tracked like any other.
Should I use a chatbot on WhatsApp?
Automation works well for instant replies, common questions and lead qualification, as long as customers can reach a person easily. Grounded AI agents that answer only from your approved information are now practical for many businesses.
